How to: Lead Follow-Up

A brief overview of a consumer's journey through a Lead Gen Program and your suggested action steps. 

 

Lead Timeline

Day / Stage What Happens Agent Action
Day 0 – Lead Capture A contact fills out a form on your website after clicking a Facebook, Instagram, or Google ad. The lead is automatically entered into BoldTrail and assigned. No immediate action required—automation begins.
Day 0–26 – “Leads 360 Campaign” The lead receives a balanced series of emails + texts designed to introduce you, share value, and invite conversation. Messaging is light and relationship-oriented. You may call or text if you wish—automation continues unless the lead replies.
If Lead Replies → Active The system changes their status to Active and removes all automation. You’ll receive an email + text alert. Log into BoldTrail, review the lead, and begin manual follow-up.
If No Reply After 26 Days The system automatically switches them to Prospect status and begins the Leads 360 – Prospect Nurture Campaign (465 days). Optional: continue manual outreach.
Day 27–491 – Prospect Nurture Campaign Long-term emails maintain gentle contact: market updates, tips, and home-buying insights. Leads remain in your database; respond quickly if they re-engage.
After 491 Days (optional) Campaign completes. You can move them into the PH Newsletter Campaign for ongoing communication. Enrol manually via BoldTrail.

What If Scenarios / FAQ

1. What if my lead replies?
  • Their status automatically updates to Active.

  • All campaigns stop immediately.

  • You receive both an email and text notifying you to check BoldTrail.

  • From this point forward, follow-up is manual—calls, emails, or texts directly from you.

2. What if they never reply?
  • The lead stays on the automation path:

    • 26-day Leads 360 Campaign → then

    • 465-day Prospect Nurture Campaign.

  • They’ll continue receiving branded auto-emails, market updates, and long-term touches.

  • You can add them to the Newsletter Campaign to maintain contact indefinitely.

3. What happens if I call or text them right away?
  • Reaching out manually is encouraged.

  • The automation continues unless they reply to one of the texts.

  • If they text back, the system marks them Active and stops automation.

  • If you call and have a live conversation, manually pause or remove their campaign in BoldTrail and continue manual follow-up.

4. What if my contact replies, I respond, but then they ghost me?
  • Assign them to the Leads 360 – Reply Prompt Campaign.

  • This 14-day sequence uses short, conversational messages to re-engage the lead and spark another reply.

5. What if the contact is looking for a rental?
  • Kindly reply to thank them and explain that you focus on sales, not rentals.
