Brokerage Systems:

Agent Resources

The Agent Resource Site is Pemberton Holmes’ centralized hub for brokerage knowledge, services, and tools. It brings together internally developed education, policies, quick links, and support resources in one organized, searchable location.

How to use it effectively:

  • Use the site as your first reference for brokerage processes and policies.

  • Access educational content and how-to guides as needed.

  • Review available brokerage services and agent benefits.

  • Use quick links to access commonly used tools and trusted resources.

  • Refer to the staff directory to find the right point of contact.

Using the Agent Resource Site consistently helps ensure you are working from current information and making full use of the support available through Pemberton Holmes.


BoldTrail

BoldTrail is the foundation of your client database and online presence at Pemberton Holmes. It is where you manage contacts, track communication, create property searches, and maintain your personal website connected directly to MLS® data.

How to use it effectively:

  • Begin by setting up your basic account information and contact structure.

  • Add leads and clients early and consistently to build a reliable database.

  • Use Smart Campaigns and manual follow-up tools to stay in touch with clients over time.

  • Leverage your website as a professional hub for listings, searches, and lead capture.


Skyslope

SkySlope is used to organize and store all transaction-related documents from offer acceptance through completion. It acts as your centralized workspace for compliance, broker review, and document tracking.

How to use it effectively:

  • Create your transaction file as soon as an offer is accepted.

  • Upload required documents promptly as they are completed.

  • Use SkySlope to track outstanding items and key milestones.

  • Treat SkySlope as your official transaction record for compliance and audit purposes.

Using SkySlope consistently reduces risk and ensures transactions are complete, accurate, and well documented.


ReallyTrusted

ReallyTrusted supports FINTRAC and regulatory compliance by securely verifying client identity and documenting required information in a consistent, auditable way.

How to use it effectively:

  • Complete identity verification early in your relationship with a client.

  • Use the platform to collect and store required compliance information.

  • Ensure all verification steps are completed accurately and on time.

ReallyTrusted helps reduce manual paperwork while ensuring you remain compliant throughout the transaction.


Board Systems

Matrix (MLS® System for VIREB & VREB)

Matrix is the primary MLS® system used by members of the Victoria Real Estate Board (VREB) and the Vancouver Island Real Estate Board (VIREB). It serves as the central platform where REALTORS® access active, pending, sold, and historical listing data across their board jurisdictions.

Matrix is used daily to search properties, review listing details, monitor market activity, set up client portals, generate reports, and support pricing and negotiation decisions. Because Matrix is directly connected to board-approved MLS® data, it is also the system that underpins REALTOR.ca listings, client collaboration tools, and many third-party real estate applications used across Vancouver Island. Becoming comfortable with Matrix is essential, as it forms the foundation of listing management, buyer representation, and professional market analysis for REALTORS® operating within VIREB and VREB.

OneHome is another tool included within Matrix and allows you to send consumer searches with up-to-date MLS information for clients in an attractive and user friendly interface. 

For access on the go, be sure to download the 'Prospects' mobile app. It is the sister app to Matrix and gives you access from a phone or tablet.

AUTOPROP (Property Data, Due Diligence & Market Analysis)

AUTOPROP is a powerful, map-based property research and analysis platform developed by the Land Title and Survey Authority of British Columbia (LTSA). It brings together property data from multiple authoritative sources into a single, interactive map interface, allowing REALTORS® to research parcels, review ownership and zoning context, analyze comparable properties, and support due diligence with confidence.

AUTOPROP is commonly used for pricing analysis, listing presentations, CMAs, property reports, and client education, as it allows agents to visualize market data spatially and supplement MLS® information with broader land and title insights. When used alongside Matrix, AUTOPROP provides deeper context and analytical support, helping REALTORS® deliver more informed advice and professional reporting to buyers and sellers.


Supra eKey (Lockbox Access)

Supra eKey is the Bluetooth-based lockbox access system used by REALTORS® to securely enter listed properties. Agents must download the Supra app and create an account to activate access. It is important to keep the app fully updated before leaving home or the office, as functionality may be limited in areas with poor cell coverage. Supra works in conjunction with BrokerBay for booking and accessing showings, ensuring that access permissions align with scheduled appointments. Agents are required to purchase compatible lockboxes to use this system, and should be aware that VIREB will be exchanging lockboxes in the coming months.

  • Ensure the app is fully updated before leaving home or the office

  • Be aware that limited cell coverage may affect functionality


    CREA WEBForms

    CREA WEBForms is a cloud-based document and transaction management platform used by REALTORS® across Canada. It provides access to up-to-date real estate forms, allows information to be auto-populated across documents, and supports digital signatures and secure document sharing with clients. WEBForms is used throughout the transaction lifecycle, from drafting offers and counteroffers to managing listing paperwork and compliance documentation. Because it is owned and maintained by CREA, WEBForms ensures agents are working with current, standardized forms and provides a reliable, device-agnostic system that can be accessed from anywhere.

    BrokerBay

    BrokerBay is a cloud-based showing and access management platform used by REALTORS® to schedule showings, manage appointments, and coordinate property access. It centralizes showing requests, confirmations, and notifications, helping agents track activity on their listings and plan efficient showing schedules for buyers. BrokerBay works in conjunction with Supra eKey to ensure access aligns with approved bookings and provides mobile access through its app for on-the-go use. As a widely adopted industry tool, BrokerBay supports smoother communication between listing and buyer agents while creating a clear record of showing activity.
